Changes to Google Services Usage Capacity

(for both undergraduate and graduate students)

Starting in July 2022, due to policy changes by Google, our institution has been operating under a total storage limit of 100TB for our Google services, which include email and other related services.

To maintain stable operation of these services, we implemented the following storage limits in September 2022. However, under the current settings, we anticipate reaching this limit as early as the first half of 2026. Consequently, a review of our storage settings is necessary. As part of this review, we will adjust the storage capacity for alumni accounts to 10GB (total for Gmail, Drive, and Photos) starting October 1, 2024. Please review the following details and schedule carefully.

Current Storage Limits (until September 30, 2024)

  • Current Students: 200GB maximum
  • Alumni: 100GB maximum (temporarily)

New Storage Limits Effective October 1, 2024

  • Current Students: 200GB maximum
  • Alumni: 10GB maximum

Important Notes

  • Gmail: You can continue to use Gmail as usual, even if you exceed the storage limit.
  • Google Drive and Google Photos: Uploading will be restricted once the limit is exceeded, but downloading will still be possible.
  • Photos and Syncing: Please avoid syncing your smartphone with Google Photos.
  • Documents and Spreadsheets: You will be unable to edit files if you exceed the storage limit.

Schedule

  • By September 30, 2024: Ensure your storage is below 10GB. Delete unnecessary files, photos, and emails, and back up any essential data before deleting.
  • October 1, 2024: The new storage limits will be enforced.
  • Post-October 1, 2024: If your account exceeds the 10GB limit, you will receive a notification via email one week prior to the following action: your account will be temporarily deleted and then re-registered. All data (emails, Drive files, Photos, etc.) will be deleted during this process. Upon re-registration, your account will use the initial password assigned when the account was created. The re-registration process may take several days.
    Note: Our institution is not liable for any inconvenience or loss resulting from the deletion of your account and data.
